Customize Team Member Assignments for Appointments (Round Robin Calendar)

We’re excited to introduce a new feature that gives you more control over team member assignments for appointments. This update helps make your scheduling process more personalized and efficient—benefiting your clients and your team.

What’s New?

New Appointment Assignment Options

You can now customize how team members are assigned to appointments in your round-robin calendar. Choose options for rescheduling and new appointments.

Reschedule Preferences

Decide who gets assigned to a rescheduled appointment when a contact reschedules using the booking widget. You have two options:

  • Round-robin scheduling: Reassign appointments to different team members.
  • Same appointment owner: Keep the same team member for rescheduled appointments.

New Appointment Preferences: Book with Assigned User

Ensure new appointments are booked with the contact’s assigned team member rather than using round-robin scheduling.

  • Consistent Booking: Book new appointments with the same person every time the contact schedules.
  • Widget Order: Ensure the form is first in the booking widget order. Adjust this from the Forms & Payments tab.

How It Works

To set up these preferences in any Round Robin Calendar:

  1. Go to Meeting Details > Team Members > Advanced Settings.
  2. Choose your preferences for new and rescheduled appointments.

Other Recommendations

Turn Off ‘Allow Staff Selection’: Prevent bookers from changing the assigned staff member on the booking widget.

  • Check Your Settings: Confirm your ‘Assigned User’ settings in Notifications & Additional Options.
  • Keep Consistent Settings: Implement uniform settings across all calendars to avoid conflicts in assigning users.
